Job Summary:

As the Banquet and Sales Coordinator at Oaks on the River Luxury Boutique Resort, you will play a crucial role in ensuring the success of our banquet events and sales efforts. Reporting to the Sales and Marketing Manager, you will be responsible for coordinating and managing sales initiatives, as well as overseeing the banquet staff, coordinating with clients to create unforgettable events, and managing the logistical aspects of banquets. Your attention to detail, exceptional organizational skills, and dedication to customer satisfaction will be essential in achieving our high standards of service.


Sales Coordination:

   - Collaborate with the Sales and Marketing Manager to develop and execute sales strategies, including prospecting, communication, and closing deals.

   - Utilize software daily to build and maintain an events prospect database, track all communications and activities with those prospects, and record all sales made.

   - Respond to prospect inquiries, conduct tours and meetings for prospective events, and sell events.

   - Assist in the development/preparation of contracts for all banquets/weddings.

   - Create Reservations and bookings in software system

   - Work with the Sales and Marketing Manager to determine selling prices and menus for events.

   - Coordinate with the Chef and Sales and Marketing Manager to plan menus, product and supply orders, and staff in a timely fashion.

   - Collect and post deposits for events.

   - Participate in outside activities that enhance the presence of the property in the local community.

   - Perform other related duties as assigned by the Sales and Marketing Manager.

Banquet Management:

   - Recruit, train, and supervise banquet staff, including servers, bartenders, and support personnel.

   - Create and manage staff schedules to ensure adequate coverage for all events.

   - Conduct regular performance evaluations and provide coaching and feedback to improve team performance.

   - Maintain a positive and motivating work environment within the banquet department.

   - Collaborate closely with the Sales/Marketing Manager to create Banquet Event Orders (BEOs) based on client contracts and information.

   - Work directly with clients to understand their event requirements, preferences, and special requests.

   - Coordinate event logistics, including room setup, décor, audiovisual equipment, and menu selection, to meet client expectations.

   - Ensure that all banquet events run smoothly, addressing any issues that may arise promptly.

   - Provide excellent food and beverage service for all events.

   - Ensure satisfaction by communicating with the client throughout the event regarding any changes, substitutions, or special requests; assisting banquet staff throughout the event as needed (refilling drinks, delivering food, bussing tables, etc.); and following up with the event host at the conclusion of the event.

   - Full compliance with Department of Health and Liquor Control Commission regulations.



- Bachelor's degree in Hospitality Management or a related field (preferred).

- 1-3 years of related experience in event coordination and catering sales.

- Superior sales skills in prospecting, communication, and closing.

- Must have supervisory experience.

- Must have excellent interpersonal/relationship skills.

- Must be proficient in the use of Microsoft Word, Excel, and Outlook.

- Must be highly organized, efficient, and detail-oriented.

- Knowledge of food and beverage service, event planning, and customer service.

- Ability to work under pressure and resolve issues effectively.

- Proficiency in event planning software and Microsoft Office Suite.
